Project Bidding - Creating Custom Proposal Question Answers Templates

Project Bidding - Creating Custom Proposal Question Answers Templates

Proposal Questionnaire Answers Template Overview

As a Vendor, you may find some projects require a Proposal Questionnaire to be populated. At times, there may be multiple fields with the same answer for all your projects or proposals.

Saving Current Answers as a Template

Vendors can save their answers for the Proposal Questionnaires to reuse for another Proposal either for the same Project, or another Project. This will allow Vendors to save time rather than populating all the fields again if the values are the same. Select Save Answer as template to save the prefilled fields.

A pop up will show up to save the name as a reference. After which you can select Save.

NOTE: The images are only saved if you have saved the Proposal after it was uploaded.

Loading saved Proposal Questionnaire Answer Templates

As a Vendor, you can also select pre-existing templates, by selecting Load Proposal Template.

Once you select the Load button, it will populate the answers with the templated answers.

NOTE: Please be aware that choosing Load will replace the answers that were previously populated.

Once completed with this pop up, you can simply select Close or use the X button at the top right to minimise the pop up.

Importing and Editing Proposal Questionnaire Answers Templates

There is another way that Vendors can create their answers for the Proposal Questionnaires, which is simply importing.

As a Vendor, navigate to Marketplace Management > Bidding Configuration > Proposal Templates.

The page will load a grid which will show all of the current Proposal Questionnaire Answers Templates available, and allow you to import another.

To import a new template, select Import New Template from the top right.

You can choose to download the sample import file, where you can populate the information to upload it into the back end. The response template csv needs to match the following format for it to import successfully:

  1. Template Name: Leave this cell as Template Name in A1.
  2. Question Title: This row needs to contain the exact title of the question (not in any group) for the template. The import needs to include all questions.
  3. Grouped Questions Header: This section will be where you will need to include (if applicable) the group title, and individual group questions. The first cell Row 1 (after the non-group questions) should contain the Group title. Row 2 (starting from the same column as the group header) will need to then specify the questions within the group. Each column after will be a question in that group.
  4. Template Content: The first column will be the name of the template. The columns after will be the templated answers required for the necessary questions.
  5. Grouped Question Answers: Each column on the row will be an answer for a group. You can create a new group answers for the same template by adding another row with all the necessary answers.
NOTE: All answers that require a selection (eg Radio Buttons, Dropdowns etc) will need to have the exact value typed correctly for it to register.
NOTE: All text answers will be imported as a single block of text. There is no formatting imported from the CSV.

Once your CSV has been saved, you can then select this from the import uploader. You can select the import button upload the file.

Once the file is selected, you can simply select Save from the top right bar.

This should import correctly, provided that the format is correct. You can edit any existing templates or freshly uploaded templates by choosing Select from the Action column to the right, and clicking on View from the dropdown.

You can view (or verify from the import) the answers and alter them on this page, as well as upload any images that were not able to be added from an import. Once done, Save and Update Reseponse Template (or Save and Continue Edit to work on the answers) from the top bar.
