Pre-Order Approval - Approver

Pre-Order page

This page shows all of the details of an individual Pre-Order Approval Request. You can access an specific Pre-Order page from the main view on customer account.

  1. Pre-Order stage: This shows the current assignee, what stage of approval the Pre-Order is at, and what action is required
  2. Pre-Order details: Shows some details about the pre-order, as well as allowing assigned users to edit the Pre-Order
  3. Products: A list of products in the Pre-Order, separated by Vendor. Also allows a user to edit
  4. Approve/Decline: Only shown to approvers when the Pre-Order is assigned to them. Allows the approver to approve, decline or request change
  5. Activity Log: Shows a log of all activity taken on the Pre-Order, as well as allowing users to comment


Receiving a Pre-Order for review

Once a buyer submits a pre-order for review, all the users from the first approver level of the workflow will be notified to review and approve/decline/change request. The system will send an email and the pre-order will also be highlighted in the "Actions Needed" section. The approver needs to click to view the specific pre-order and can then review the request. The approver then has three options:

Approve / Approve & Escalate

If the approver is ok with the pre-order, they can approve the pre-order. Depending on the approval limits for the current approver, there are two processes that can happen:
  1. If the pre-order amount is within the approval limits, approver can just "Approve" the pre-order, and buyer will receive a notification that pre-order has been approved and they can proceed to checkout
  2. If the pre-order amount is above the approval limits, approver needs to "Approve & Escalate" and the next approver level will receive the pre-order to review. This will happen to as many levels as the workflow has, combining with the order amount
  3. After all the required levels approve the pre-order, buyer will receive a notification that pre-order has been approved and they can proceed to checkout


Request Change

If the approver checks the pre-order and a change is needed, they can request a change. Please make you enter a comment so the buyer knows exactly what to change and doesn't need to contact the approver again to request more information.


Decline

If for any reason the pre-order should be declined, the approver also has the possibility. Simply click on "Decline", include a comment explaining why and click on "Submit & Decline"
