Importing products using Flat File

Accessing the Product Import feature

Product imports have been made easier with the Flat File import method. Marketplace Owners and Vendors can access this by going to Products > Product Import.



The page will load with a grid / log of all imports. Vendors will only be able to see their own imports.



Once here, you can import using the Import Manager.


Using the Import Manager

There are 2 ways you can load your products using the import manager. Click on Open Import Manager and you will see the interface below.



1. Attach a CSV

First, ensure you have your file populated and ready for import. You can download a sample CSV file from below the Open Import Manager button, though you can create your own if needed.

You can simply drag and drop the file to the interface. You can also use the Upload data from file button to open your file browser.



Once the csv has been uploaded, the system will ask if your file has header rows.



You can choose another row if the first one (by default) is not your header row. If now header rows are selected, it will just map it by the column.

The next step will then be the mapping of your columns from your file, to the product attributes on the marketplace. Depending on your selection for header rows, it will either show you the header titles for each column, or the cell column itself (eg A, B, C). If using header rows, it will try to map matching names or attribute codes.



If it cannot find a matching field, it will show you a message on the right that it was unable to automatically match. If it automatically matches to an attribute that is incorrect, you can also change this with the dropdown. So in both scenarios where the marketplace field is unmatched or matched incorrectly, you can use the dropdown on the right to select all available attributes.


You can remove the mapping by pressing the X if needed.



If the field on the marketplace is a dropdown (has options), you can map all the values in the spreadsheet to existing values on the marketplace. This will appear as another table on the right.



If the value you need does not exist, it will need to be created (by the Marketplace Owner).

The notifications and options on the far right of each row will also show you if the field was matched, the % of the rows in this column that have data, and if there are any issues with import (eg if the field has already been matched in another section.



You can then choose to Confirm mapping, or Ignore this column. Ignoring this column will not import any data from it. Confirming the column will minimise this section to help you continue down your list.



NOTE: You do not need to select Confirm mapping to proceed. You can also just scroll down and continue populating without pressing Confirm mapping.
Images
Images can only be imported via URL. You will need to input the full URL of the image. There are 4 image fields you can use:
- Base Image (used as the main image of the product and is the first image when the product is loaded)
- Small image (used as the image on category pages and product tiles)
- Thumbnail image (used as the smaller image on the shopping cart page, order information and cart dropdown)
- Swatch image (used when the product selection for the configurable is a swatch selection)
Linking Simple Products with Configurable Products
Configurable products (parent products) will still need to have the column Configurable Variations populated so that you can link simple products variations. The format will be as follows:

Each simple product is divided with ( | ). You can have multiple attributes if needed, separated by commas. As an example, this will be what will be needed for the configurable product "tshirt" so that it can link the simple products "tshirt-123-white" and "tshirt-123-blue" together:
sku=tshirt-123-white,color=white | sku=tshirt-123-blue,color=blue
The simple products SKU will need to match correctly.
When the mapping is done, you can then select Review to input the data into the data table.


You can also select Go back if you need to change something, however this will undo all the changes you implemented prior.



Here you will see your products in the table format, where you can see errors, or edit anything before it is scheduled for import.

2. Editing the table manually

If you do not have an import file, you can import your products directly using the table.



Reviewing your product before import

Whether you manually populate your product information using the table or use a CSV file, you will be taken to this page where it will show you the fields used for the import.



You can see which fields have errors on this page. This will include if the data is empty or incompatible. You can also choose to filter the products that have issues only.
NOTE: This will only show errors that have value validation.



You can edit any of the fields to correct this. While a field is selected, you may also select the bottom right point which will allow you to drag your column data down (like in most spreadsheet softwares), so that it copies the values in all cells selected. Note this only selects in one direction at a time.



In the example above, we will use it to populate the errors in the category column from row 4 to 14.



In this case, we have removed all product errors.



If you make any changes or add text values to any of the cells (only applicable for text fields, not dropdowns), you will be able to see the changes using the Show modifications feature.




Submitting your import

Once you are satisfied with the data in this table, you can then select continue to finalise it.



If your table has errors, you will be able to see a prompt confirming. Press Go back to the table to correct the errors.



Once you continue, a confirmation message will appear.



Simply Press OK and a new row will be ready to import, with the status as Draft.



You can select (using the left check box), which row you would like to select to import. You can also view details, and start or cancel the import individually for each row using the Select dropdown from the far right.



If using the checkbox (to import multiple rows), you can select the boxes on the left, then select the Start Import button from the top left.



If there are no rows with the status as Draft, this button will not appear. Once the import starts, it will run in the background. 


After the import

You will be able to see if the start and complete date. You can check the details using the View Details action link from the right column.



From here, you can find out how many products were set to import, how many imported, and how many had errors.



Products with errors will not be imported. You can check the errors using the Import Error tab on the left.



In this case, the Source code is incorrect.
NOTE: The Source code attribute does not have any validation at present, to indicate if the value is a valid source code, so ensure this is correct in the CSV or on the Review section.
You should be able to see your products appear if you have imported the records successfully.
